Say so in the first line. We will send the licence copy and insurance certificates before the visit rather than after it, and give you a written scope in a form you can circulate to owners.

If you know when your board next meets and what its agenda deadline is, put it in the message. In a managed property that date sets the whole schedule — more than equipment lead times do — and almost nobody thinks to mention it.
